Terms and Conditions of Entry

1. Acceptance of Terms

By registering for and participating in a Volleyball ACT (VACT) Beach League competition, all participants acknowledge that they have read, understood, and agree to be bound by these Terms and Conditions, together with any competition regulations, policies, and directions issued by VACT from time to time. The Team Representative confirms that they are authorised to accept these Terms and Conditions on behalf of all listed team members and understand that Volleyball ACT may move, regrade, promote, or relegate their team between divisions where necessary to maintain an appropriate competitive environment.

2. Eligibility

1. All participants must be registered through the approved VACT registration platform.
2. Participants must meet any age, gender, division, or eligibility requirements applicable to the competition entered.
3. Participants under 18 years of age must have parent or guardian consent.
4. VACT reserves the right to refuse, suspend, or cancel an entry where eligibility requirements are not met.

3. Competition Rules

1. All matches will be conducted in accordance with the published VACT Beach League Rules and any venue-specific regulations.
2. Participants must comply with the directions of VACT staff, officials, referees, and venue management at all times.
3. VACT reserves the right to amend competition formats, schedules, divisions, venues, or playing conditions where necessary.
4. Failure to comply with competition rules may result in penalties, loss of match points, suspension, or removal from the competition.

4. Codes of Conduct

1. Participants must behave in a respectful and sportsmanlike manner.
2. Abuse, harassment, discrimination, intimidation, threatening behaviour, or misconduct towards players, officials, volunteers, staff, spectators, or sponsors will not be tolerated.
3. Participants must comply with all relevant VACT policies.

5. Health and Physical Condition

1. Participation in beach volleyball involves physical activity and carries inherent risks of injury.
2. Participants acknowledge that they participate at their own risk.
3. Participants warrant that they are medically fit to participate and have not been advised otherwise by a medical practitioner.
4. Participants agree to notify VACT of any relevant medical conditions or circumstances that may affect their participation.

6. Risk Acknowledgement and Release

1. Participants acknowledge the risks associated with beach volleyball, including but not limited to physical injury, illness, property loss or damage, and adverse weather conditions.
2. To the fullest extent permitted by law, participants release and indemnify VACT, its directors, officers, employees, volunteers, contractors, sponsors, and partners from any liability arising from participation in the competition, except where caused by negligence or where liability cannot legally be excluded.

7. Insurance

1. Registered participants may be covered by insurance arranged through Volleyball Australia and/or VACT, subject to the terms, limitations, exclusions, and conditions of the applicable policy.
2. Participants are encouraged to obtain their own personal accident, income protection, and private health insurance where appropriate.

8. Fees, Refunds and Withdrawals

1. Entry fees must be paid in full before participation.
2. Refund requests will be considered in accordance with the VACT Refund Policy.
3. VACT reserves the right to cancel or modify competitions due to weather, safety concerns, insufficient entries, venue issues, or circumstances beyond its reasonable control.
4. Administrative fees may apply to approved refunds.

9. Weather and Force Majeure

1. Beach volleyball is an outdoor sport and may be affected by weather conditions.
2. VACT may postpone, relocate, suspend, or cancel matches due to weather, environmental conditions, safety concerns, or other unforeseen circumstances.
3. Decisions made by VACT regarding match scheduling and venue safety are final.

10. Photography, Filming and Media Consent

1. Participants acknowledge that photography, video recording, livestreaming, broadcasting, and other forms of media capture may occur during VACT competitions and events.
2. By entering the competition, participants consent to VACT and its authorised partners capturing, using, reproducing, publishing, displaying, streaming, promoting, and distributing their image, likeness, voice, performance, name, and biographical information in any media format.
3. This consent includes use for:
   • marketing and promotional activities;
   • social media content;
   • websites and digital platforms;
   • event promotion;
   • sponsor recognition;
   • media releases;
   • annual reports;
   • educational content; and
   • future promotional campaigns.
4. Participants understand that no compensation, royalty, or payment will be provided for such use.
5. VACT may edit, modify, reproduce, and distribute media content at its discretion.
6. Parents or guardians provide this consent on behalf of participants under 18 years of age.
7. Participants who have a legitimate safety, legal, or child-protection concern regarding media usage should notify VACT in writing prior to participation and VACT will consider reasonable accommodations where practical.

11. Privacy

1. Personal information will be collected, stored, used, and disclosed in accordance with applicable privacy legislation.
2. Information may be used for competition administration, participant communication, insurance purposes, governance requirements, safeguarding obligations, and promotional activities.
3. Participant information may be shared with Volleyball Australia, insurers, government agencies, service providers, and competition partners where reasonably required.

12. Child Safety

1. VACT is committed to providing a safe and inclusive environment for children and young people.
2. Participants must comply with all safeguarding requirements and directions issued by VACT.
3. Any concerns regarding child safety or welfare should be reported immediately to VACT.

13. Participant Equipment and Property

1. Participants are responsible for their own equipment and personal belongings.
2. VACT accepts no responsibility for loss, theft, or damage to personal property.

14. Disciplinary Action

1. VACT may investigate alleged breaches of these Terms and Conditions or relevant policies.
2. Sanctions may include warnings, penalties, suspension, expulsion from matches or competitions, removal of results, or referral to disciplinary processes.

15. Amendment of Terms

VACT reserves the right to amend these Terms and Conditions at any time. Updated versions will be published through official VACT communication channels and will take effect upon publication.

16. Governing Law

These Terms and Conditions are governed by the laws of the Australian Capital Territory. Participants submit to the jurisdiction of the courts of the Australian Capital Territory for any dispute arising from participation in the competition.

Participant Declaration

By registering for a Volleyball ACT Beach League competition, the participant (or parent/guardian where applicable) confirms that they:

• Have read and understood these Terms and Conditions;
• Agree to abide by all VACT rules, regulations, and policies;
• Acknowledge and accept the risks associated with participation;
• Consent to photography, filming, and media usage as outlined above; and
• Provide accurate registration information.
